1. How long does it take for a user to obtain a logon ID and gain access to the system after submitting a request?

Once you have submitted a request to obtain a new logon ID, the processing time varies depending upon the type of access requested in addition to the logon ID. Getting access to IT Services or a particular application that IT Services supports should normally take 2-3 working days. Once you have submitted a System Access Request (SAR), the user will receive an email with instructions for taking a 30-minute online security course. Upon completion of the course, the user will receive another email with instructions to complete an ID verification process at the IT Support Center office at Kerckhoff. After the ID verification, any additional permissions or access will be set up by Access Services or application owners. The DSA will receive an email when the SAR has been completed. Keep in mind that all requests are cancelled after 3 months if the user does not complete training or ID verification. If the request requires an authorization from the application owner/department or there is some complication in the request, it can take approximately 7-10 working days. 2. How long does it take for a request for additional access to be processed?

If you are requesting functions that have to be routed to another department for approval, the processing time is dependent upon how long it takes for the request to be approved. For example, if you are requesting function SS017, a student records function, the form must be sent to the registrar's office for verification and approval. If you are requesting more than one function that requires routing to different departments, it will take longer because each function must be approved by the appropriate department. If the request can be completed without routing, such as FS080 or Financial and Payroll QDB, the processing time is 2-3 working days. Once a request has been completed, the preparer of the SAR is notified that the request has been completed*.

*For Financial QDB, the user also receives an email notification.

3. Why can't I begin using a function immediately after I've added it?

When you add a function to a user in DACSS, keep in mind that most of these functions require an overnight update before the access can be used. Once you have added the function, you will have authorization the next morning.

4. What should I do when a user leaves my department?

When a user leaves your department, submit a SAR immediately to have the logon ID suspended and the user's access deleted. You may also go into DACSS and delete the functions from the user yourself, keeping in mind that you can only delete functions that you added to the user and not those added by other DSAs or Access Services.
